Job Description
Financial Services Operations ManagerCooley is seeking a Financial Services Operations Manager to join the Accounting and Finance team.

Position summary: The Financial Services Operations Manager is responsible for management of the Firm's treasury team (within Accounting and Finance department). Direct treasury management functions include daily cash balance analysis and maintenance, oversight of Trust activities, and compliance with any Firm financial covenants. General operations include oversight of Firm/department and procedures relating to handling of financial data and data administration, as well as managerial and analytical support for complex analytical projects. Support external projects impacting Elite 3E and related data. Consult with end users to analyze changing business needs and the likely impact on Financial Services resources. Duties include, but are not limited to the following:

Position responsibilities:

  • Manage daily workflow of Treasury coordinators and specialists
  • Oversee all trust and banking activities including:
  • internal audits of banking activity
  • Firm related electronic banking portals
  • authorize cash transfers to maintain targeted daily balance
  • working with Director of Finance and Chief Financial Officer (CFO) to manage seasonal borrowing
  • manage the Firm's credit card portfolio as well as setting up administrators, ordering cards, processing limit increase requests and monitoring for fraud transactions
  • Analyze and respond to ad-hoc information requests from financial teams utilizing Elite 3E
  • Coordinate with the IS Department in managing and expediting department requests for trouble shooting assistance, as needed
  • Analyze team requests for system enhancements and customizations to ensure clarity of submissions
  • Coordinate with IS Department in managing, prioritizing, and resolving such requests, particularly when such requests will involve subcontracting
  • Collaborating with department's directors and managers, provide guidance in documenting and standardizing internal department processes and reports (e.g., project status reporting, financial reporting, etc.)
  • Oversee 3e set-ups including but not limited to new offices
  • Manage firm signature cards for all US bank accounts
  • Review bank reconcilements monthly, approving FX Gain/Loss adjustments
  • Setup new bank accounts in 3e
  • Manage accounting specialists and firm uploads of Lexis/Nexis, Document Processing, Litigation and E-Discovery, Patent Fixed Fees, USPTO charges
  • Manage timekeeper rate input. Patent Time Type Rates input and changes
  • Work closely with HR and "WTI" (the HR daily upload to 3E related to all staffing changes) updates to the accounting system master data files for new hires and departures, level changes and "EDI" (Effective Dated Information), etc
  • Oversee firm Letter of Credits with balance confirmations and processing charges
  • Manage/approve firm sub-tenants monthly rent invoices
  • Work closely with firm auditors
  • Special projects as assigned by the Director of Finance
  • Serve as direct supervisor and mentor to direct reports
  • Provide day-to-day supervision of direct reports, ensure compliance with assigned work hours and monitor for compliance with all firm and department policies. Manage staffing coverage, review and process time logs/time off requests
  • Support business professional development and continued educational opportunities
  • In collaboration with immediate supervisor and CN HR, participate in hiring, performance appraisals, counseling, termination and other employee lifecycle events
  • All other duties as assigned or required

Skills and experience:

Required:

  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications
  • Ability to work extended and/or weekend hours, as required
  • Ability to travel, as required
  • 5+ years direct applicable experience in the field. Specifically, prior Elite 3E system experience and experience with accounting processes, procedures and controls
  • Troubleshooting experience with back-end application to include internal customer support and training

Preferred:

  • Bachelor's degree with focus in business finance accounting or equivalent
  • Technical writing and documentation experience
  • Experience working in a law firm or other professional services organization
  • Supervisory experience

The expected annual pay range for this position is $115,000 - $170,000. Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
