The Hilton Santa Clara is seeking a Full-Time Catering Coordinator to join our great team and enjoy all the benefits of our exciting hotel environment! Responsible for providing administrative support to the Sales Managers, with the emphasis on banquet and catering. This position will work in tandem with our Sales Coordinator on the details for groups post-contract, and ensure that information is distributed in a timely manner to the Operations team. This position will also be the primary liaison between Sales and Banquets.

ESSENTIAL JOB DUTIES:

  • Screens, evaluates and routes incoming phone calls. Answers the phones of the sales/catering staff in their absence using Signature training.
  • Knowledge of each sales manager's segments and responsibilities in order to direct client inquiries appropriately. Take accurate messages in their absence.
  • Sends menus, hotel information, thank you letters, evaluation letters and all other correspondence to clients.
  • Prepare VIP and other amenity requests.
  • Route new contracts, billing information to accounting/DOSM once contracts are received from catering managers.
  • Print and route the daily event's report on a daily basis.
  • Review BEO's, BEO batch and file in the BEO binder for the following week on Tuesdays and Thursdays.
  • Assist in creation of BEOs
  • Assist in creation of room diagrams at client request
  • Create files for new contracts.
  • Assist in creation for promotional flyers.
  • Create reader board, banquet door signs, directional signs.
  • Route all pop ups and revised BEO's on a daily basis.
  • Responsible for faxing, copying, filing and any other clerical duties.
  • Responsible for maintaining adequate stock of sales collateral and wedding kits.
  • Be a team player and encourage the teamwork attitude among staff.
  • Promote open channels of communication between all hotel departments.

Compensation: $28 an hour.
